Features

Most coworking software still needs a separate CRM and accounting package. CoWork keeps spaces, members, contracts, subscriptions and invoices in one workspace, with five ready-made plans on install and a short set-up wizard. Member data stays in your own workspace database.

Every kind of space

Hot desks, dedicated desks, private and virtual offices, meeting rooms, phone booths, event spaces and day passes, across one or more locations and floors.

Online sign-up that ends in a member

Visitors pick a plan and a free space, which is held for 30 minutes, sign the agreement and pay the first invoice with its refundable deposit. Payment starts the membership.

A portal for every member

Members book meeting rooms, order services, check their mail, announce visitors, report issues, join events, see their invoices and give notice, from any phone.

A front desk for mail and visitors

Log mail and parcels with a shelf and a label photo, and the member is told by email or WhatsApp. Pick-up is signed for, and visitors are checked in and out.

A live floor plan

Upload a plan of each floor and place every space on it, so the team sees at a glance what is free, taken or booked.

Room hours included in the plan

Each plan can include monthly meeting-room hours. They are used first, and extra hours are billed at the room rate automatically.

One predictable invoice

The monthly fee runs as a subscription. Extra room hours, orders and damage are gathered onto one invoice, with your own numbering, VAT and payment terms.

Deposits kept apart from income

Deposits are held as a guarantee, not income. Deduct damage with a reason, then return the balance when the member leaves.

Events and community

Publish talks and community evenings with a public sign-up page, or keep them for members in the portal, and mark attendance on the day.

From empty floor to full house

Four steps, and every member, booking and invoice lives in one place.

1

Set up

A five-step wizard creates your location, floors, comforts, spaces and prices. Five ready-made plans are there from the start.

2

Open the doors

Switch on the public page with your locations, plans and events. Visitors sign up online, or request a tour that becomes a lead.

3

Run the day

Start each morning on Today: occupancy, room bookings, waiting mail, expected visitors, open issues and members starting or leaving.

4

Bill

Monthly fees invoice themselves. Add extras on a fixed day, settle deposits when members give notice, and let members pay online.

Connected Apps

Clients

How is connected: Each member is a client and its people are contacts. The client page gets a CoWork tab showing everything the client rents.

Leads

How is connected: Tour requests from your public page become leads that your team can follow up.

No App works alone

Here is what CoWork plugs into:

  • Invoices for set-up, deposit and extras, payable online through your payment gateways

  • Providers, for the catering, internet, cleaning and repair vendors you work with

  • The client portal, which gains a My workspace menu for members

  • WhatsApp notices for mail and a welcome message with the access code

  • A dashboard widget and AI Reports for occupancy and recurring revenue

  • Five team permissions, from the front desk to billing

Subscriptions

How is connected: Monthly memberships run as subscriptions and are invoiced automatically each period.

app

Contracts

How is connected: The service agreement signed at sign-up is saved as an accepted contract, with the signer, date and location.
